Streamlining Transactional Document Processing, the QLD Government Shared Services Agency Intelligent Scanning Project Case Study

Consolidating resources and automating processes to reduce costs and increase efficiencies is a key goal for government – therefore the Queensland Government has established the Shared Services Agency (SSA) to provide centralised high-quality and cost-effective corporate support services to the majority of government departments. By standardising processes, the SSA aims to reduce back-office costs and allow departments to focus on realigning staff and resources to core business areas.
In this Case Study, Max and Christine will give an overview of the Intelligent Scanning Project, which aims to establish a new managed service to streamline the transactional document processing which the SSA performs on the behalf of its client departments.
Traditionally the receipt, sorting, delivery, processing and archival of transactional documents has been performed at significant cost with limitations in process visibility and workforce flexibility. This cumbersome process is to be replaced with an end-to-end solution that removes paper from the process by opening and scanning of mail, workflow sorting and categorising of images, distributing and storing hard-copy documents and the storage of images and records within an eDRMS.
Industry research suggests savings of around 10-20%, just by removing paper from the process – so with a processing load of around 50,000 documents per month, the potential for cost savings is very significant.
